Our admins are here to help our community stay friendly, useful and respectful — keeping things growing without taking the fun out of being South African.

Admin Guidelines

What We Expect From Our Admins

Being an admin is more than being able to add or remove members. Admins are part of the community and help shape the group’s atmosphere, usefulness, and quality.

We don’t expect every admin to be online all day or to respond to every conversation. Admins are volunteers with their own lives, families and commitments. However, we do expect admins to take an active and responsible role in the community.

Admins should therefore model the behaviour we expect from everyone else

Admins help keep our community growing by:

  • Reviewing and approving new members where appropriate
  • Checking that new members meet our community requirements
  • Welcoming new members when possible
  • Helping new members understand the purpose and rules of the group
  • Being alert to suspicious or inappropriate accounts

Admins are responsible for helping maintain a respectful and appropriate environment. 
This includes:

  • Keeping an eye on conversations
  • Responding when discussions become inappropriate
  • Removing posts or comments when necessary
  • Addressing harassment, personal attacks, crude or offensive content
  • Redirecting conversations that have gone off-topic
  • Dealing with repeated rule-breaking

Admins should also contribute to the group themselves by sharing useful and relevant information when they come across it. 
This might include:

  • Local or community events
  • South African events and gatherings
  • Important news relevant to South Africans living in Germany
  • Useful resources
  • Community announcements
  • Interesting or helpful information
  • Reminders about upcoming events or activities

Our role: Gardeners, not Police 🌱

Being an admin is not about having power over the group. It is about protecting the community we have built
Our job is to keep the groups welcoming, useful, respectful and safe — while allowing members to have different opinions, personalities and ways of communicating.

We are gardeners, not police. We don’t need to control every conversation or step in every time someone says something we don’t personally like. But when behaviour starts damaging the group, making others uncomfortable, or breaking our guidelines, we have a responsibility to act.

Be Fair, Consistent and Impartial

Admins should apply the rules consistently. 
When possible, discuss difficult moderation decisions with another admin before taking action.

Our guidelines provide the framework for moderation, but there will occasionally be circumstances where an admin may use reasonable discretion. For example, a group may normally not allow the sale of event tickets, but an admin may decide to allow a particular post where they know the circumstances, can reasonably establish that it is genuine, and believe that allowing it is in the community’s interest.

Don't Publicly Name the Complainant

If a member reports a post or comment, do not reveal who reported it.

Avoid:

“Several people complained about you.”

Instead, use neutral language such as:

“The admin team reviewed the post and decided that it does not meet the guidelines for this group.”

This prevents unnecessary conflict between members and protects the privacy of the person who raised the concern.

Give Members an Opportunity to Understand

For minor issues, a friendly reminder is often better than immediate deletion.

For example:

“Just a friendly reminder that this group is for [purpose]. Please keep future posts on topic. Thank you!”

However, not every situation requires a warning.

Admins may remove content immediately when it is clearly inappropriate, abusive, threatening, illegal, or otherwise unsuitable.

Immediate Action for Serious Conduct

Admins do not need to follow a warning process where there is serious misconduct. 
A member may be removed immediately where necessary to protect the community, particularly in cases involving:

  • Threats
  • Harassment
  • Hate or discriminatory content
  • Sexual or otherwise seriously inappropriate material
  • Fraud or scams
  • Serious privacy violations
  • Repeated malicious behaviour
  • Conduct that creates a genuine safety concern

Safety comes before procedure.

Admin response templates

Sometimes a post or comment needs to be removed, or a conversation needs to be redirected. To make things easier and to keep our responses consistent, we’ve put together some example messages below.

Admins are welcome to copy, adapt or personalise these messages depending on the situation. They are intended as helpful guidelines rather than scripts — use your judgement and choose the wording that best fits the circumstances.

The aim is always to explain the decision calmly, respectfully and without creating unnecessary conflict.

Deleting comments

Deletion is a moderation decision, not a punishment.
Admins do not need to win an argument before removing content that clearly does not belong in the group.
Content may be removed when it:

  • Is inappropriate or offensive
  • Contains harassment, threats or personal attacks
  • Is clearly unrelated to the group
  • Contains prohibited advertising or spam
  • Contains inappropriate images or material
  • Creates a significant disruption in the group
  • Has resulted in legitimate concerns or complaints and, after review, is considered unsuitable for the group
  • Contains potentially harmful or misleading information that should not remain unchallenged
  • Breaches another member’s privacy or shares personal information inappropriately

Stopping or changing the direction of a discussion

De-escalation is preferable to confrontation. Depending on the situation, an admin may:

  1. Leave the conversation alone if it is still constructive.
  2. Give a gentle reminder to keep things respectful.
  3. Ask members to take a personal disagreement to private messages.
  4. Delete individual comments.
  5. Close or stop the discussion.
  6. Remove a member temporarily or permanently where necessary.

Report Issues to Admins If you encounter inappropriate behavior, harassment, or spam, contact an admin directly to address the issue. Compliance with Community Guidelines By participating in this community, you agree to follow these rules. Violations may result in warnings, removal, or banning from the community. ⚠️ Warnings to Members Your safety and privacy are important to us. While we work hard to maintain a safe and supportive community, members should remain vigilant and use common sense when interacting with others online. 📦 Be Careful When Transporting Items for Others From time to time, members may ask if someone travelling between Germany and South Africa can take a package, document, suitcase, medication, or other item on their behalf. While many of these requests may be genuine, we strongly advise members to exercise caution. Never carry an item unless you know and trust the sender. Ensure you know exactly what you are transporting. Remember that you may be held legally responsible for anything you carry across international borders. The South Africans in Germany community and its admins cannot verify the contents of packages or the intentions of individuals making these requests. 🚨 Beware of Scams, Fake Events and Phishing Attempts Scammers sometimes target community members by phone, WhatsApp, SMS, or email. Examples may include: Invitations to fake meetings or events. Requests to register via suspicious links. Messages asking for personal information, passwords, or payments. Calls claiming to represent South Africans in Germany.
